How To Use Conditional Text In Adobe InDesign CC
Hi there. Welcome to this video all about conditional text. I love conditional text. What it is. It allows you to have kind of option A and option B for something in our case we've got us dollars for this shelf here and we've got the new Zealand dollar price. Okay. It allows us to have one in design document but allows us to do this where I can say actually I don't want to print off a pdf or just the new Zealand dollars, you'll notice that it re flows the text unlike layers where you can kind of just turn them on and off this reef flows and kind of flows up to these brackets here. Let's say I want to make another pdf for just the US dollar. You can have euros, Australian dollars. All sorts of dollars. Okay, so not just currency. It can be sizes, you might have UK US sizes, it might be you kus spelling Okay, one big document and have to spelling variations. It could be wholesale or retail pricing, it could be other things. I can't think of anything else to use it for at the moment. I'll...
come up with some more during the course, but you get the basic idea, let's learn how to do it now and in design. Okay, so first thing we're gonna do is I'm on page three, we're going to open up our exercise files and open up 03 magazine and open up magazine text. Okay. And I want you to copy this stuff here. Okay, so it's the prices for some of my shelves. I'm going to copy it. Okay? And on the shelves page, I'm just going to kind of like generate paragraph where it was number four. So I'm just making a space for it, putting in a full stop in the capital letter and then I'm just gonna paste this in. Okay? So this is our us dollar price. What we need to do now is just afterwards, I'm gonna put it in this space and I'm going to put in another price now depending on it's up to you. You might pick so I'm from new Zealand I might pick new Zealand dollars and they're about kind of with, you know, in terms of the actual digit value. Ok. It's twice as much as us. You can go through and do that. So I'm gonna go through and do it for all of these. I'll get I'll get Jason or taylor to speed this up. Okay? I'm finished with the addition takes me a long time anyway. And so what we're gonna do now is apply our conditions. Okay? So what I'd like to do is be able to turn a button on and off so that I can switch between us and new Zealand prices without having to have two in design documents. Let's go to window. Let's go to type in tables. Let's go to conditional text. Okay? Everything is conditional got nothing selected. I'm gonna make two conditions, one is going to be us dollar. Okay, I'm gonna make another one and this one is going to be Nz dollar. You can see by default on the bottom it's going to have an appearance of a wavy line with red underneath. You can change this to be a highlight rather than the underlying you can play around with these but the underlying waves seem to work fine. So what I'm gonna do is I'm going to grab my type tool and I'm going to click everything and drag it across. You'll notice that I grabbed that first space in front of 50. I'm gonna zoom a little bit. Um It's just because when this gets removed there's a space here before the new Zealand dollars. So this is going to kind of like lump forward and if I don't and if I just have this, okay I'm gonna lift with two spaces. I hope you get what I mean. But so I want this and I want you to be U. S. Dollars. Okay? And then I want you to be new Zealand dollars including that space. Okay see new Zealand dollars. So there's a couple of things here, you're not seeing the wavy underline. So I'm gonna go back to my black arrow click in the background and hit the w key to come out of preview mode. Now you can see them down the bottom there. Another thing to be careful of is and say here. I want you and I want you to be U. S. Dollars and I want all of this. I don't want to get this space after here. Okay this little space afterwards because this will suck into the return. That breaks the line down to here. We'll look at it. I'll do this one by accident. Okay I'll leave that in there. So we've got an example. Um So don't do that. Okay us dollars so grab all of it but not that okay. Um you are in new Zealand dollars. Okay I'll get them to speed it up again. Go forth. Alright so that is all the magic done. Okay I've got nothing selected in the background. Now what we can do is we can turn the eyeball off us dollars and watch the NZ dollar flow in awesome. So that's the big thing with conditional text. Is that even the thing that I broke didn't actually break. Okay I didn't actually grab that extra return just happens sometimes. Okay. Actually yeah, if I turn the NZ dollars off. Yes that's what, that's what breaks. Okay so if I turn new Zealand dollars off because I've got that return included into it. Okay that return breaks this line. But without it this line tries to sneak up, watch Who know that one. So if you end up with this where one line kind of end up jumping up up when it shouldn't. Okay you might just have to make sure and go actually see this bit here you are unconditional. Okay now hopefully click off when I turn into dollars off and you're off. That's fine. Okay, that was a long winded explanation. I hope you got that. Okay, so the big difference between that and say that may be using the layers panel. Okay. You can turn things on and off in the layers. The reason we're not doing that is because we want this text to re flow, we want where the U. S. Dollars was. We want the NZ dollars to be. It kind of sucks up and flows into there now where I found this really useful. Obviously it works great retail wholesale prices versus UK. Us size ing's currency values. I've done this lots in one of the big uses for it was when I was doing some like setting up some templates for some, it was really boring work. It was insurance agencies and they underwrote a whole load of banks. Okay. But they all have the exact same policy wording. So there are banks in new Zealand so there were B and C. Had a policy wording that was exactly the same as Westpac as A N Z. And all these other banks. So what we did is we update one document and in design and what we did is where it said, hey, we the bank B NZ and hereby, I don't know, insurance speak. Okay. And all we did was highlight the word B NZ and switch it out and have Westpac next to it, next to a NZ. Next to all these other banks. Okay. And then I could just turn them on and off and we could do text amendments to this pot. Big ugly heavy going policy wording. And then when we're ready to print, okay. We just turn that went on that went off and go to file export pdf. Okay. And it would be all in that right? Banks wording okay. And the same here would turn it on and off for the other option then go file print. And it just meant we had one in design document that, you know, that looked after lots of different varieties of banks. Another use for it for me is I have teacher training notes and student training notes. It's the same in design document. Okay. But I have like, hey, this is what you should do in in design. And then at the end I have like a little teacher's note and I say teachers only specific like now is a good time to insert clever joke about in design here. Okay. And I highlighted and I make a teacher only notes. So when I'm printing the teacher notes, they get all the lame jokes that I came up with. But the students just get the regular old notes. We just got one file to deal with. All right. So that is conditional text. I hope I explained myself well in this one, I have to rewatch this one, but I feel it's okay.
