Segment 2 - Desktop Publishing - Using Word Pt 1
So now that I've shown you the ready made templates let's take what we've learned here and apply that to starting completely from scratch so I'm going to go ahead and close this template and I'm gonna, um I'm going to say if this template let me show you something about saving while I'm here when you go to save a document inward it gives you this window here that says that says save as and if it's a text document it generally will pull the first few the first few words of your document which is almost never when you what you want to call it because frequently like the date is the first thing that you have there or in this case document three so I want to give this a better name so I'm going to call this wandering star flyer now that's a little more generic than I would do in real life I would want to say that this is the poster for hanging in coffee shops or you know what it is actually four so when I'm looking in my finder aiken actually know what the project is now here's the kicker ...
is that it says, where do you want to save it and it's saving it to my documents and that's a good start but that's not necessarily where I wanted to go and there's thiss little triangle right here that is your best friend if I click on that triangle, it expands out the window and now gives me the full ability to save it anywhere on my hard drive that I want to say that so I can go into my documents folder and put it in the folder where I wanted to go if you want to actually create a folder on the fly, turn your attention down here to this new folder button down in the bottom left stan corner and that allows me to make a new folder right now it right now and so I'm going to call this class files you may want to call it you would call it whatever is appropriate for your for your project and I'll could create now I can see that it wants to save it in class files so I'm saving it as wandering star flyer in class files and then I'll go ahead and click save okay, so now I'm going to click back on my w again in my dock and it brings up the file that we're now going to recreate I want to create a new blank document so you can either go to the first button in the upper left hand corner that says create new word document if you like keyboard commands you can also use command end and that will open up a new document all right got it all right, everybody ready? Yeah, you did all right, so the first thing that I want to do is make my page the proper size so I'm going to go to the layout tab and we're going to work with the piece of paper itself and so there's a page set up size button right here and that comes pre set with a number of popular and useful dimensions what we're going to be doing is a four by six postcard and I don't see that on this list so I'm going to create my own file size so our page size so what I'm going to do again instead is going to the file menu and then go down to page set up and where's his paper size u s letter drop them down and then choose manage custom sizes and we're going to create our own postcard which will then be able to re use in the future so once I'm here there's a plus and this convention of a list with a plus in the minus down at the bottom is common across an apple product so you'll see that frequently so to make a new one I'm going to click on the plus sign right there and I'm immediately going to double click on the name untitled and change it to post card so that in the future all no what paper size this actually is and my postcard is going to be six inches wide by four inches tall and I'm hitting my tab key to go from field to field to field so for those of you who are used to click here type, click over here in type try using the tab can the upper left hand part of your keyboard and that speeds up moving through a field I'm also going tio change the non printable area although this is it only sometimes works and I'm going to go at started the top gonna make it a zero and then hit my tab key which goes toe left and I'm going to take the zero and tap again and zero and bottom you guessed it make that zero also and so that's going to make sure that we can use the whole dimension of the postcard and I'm going to click ok and then I'm going to click ok again voila you now have a postcard size page now even though we told her that we wanted zero margins notice that my curse is kind of flashing in the middle over here so we still do need to change the margins again so I'm still on the layout tab and I'm going to click margins right here and I don't see any zero margins so I'm going to go down to custom margins and I'm going to do the same thing we're going to make these all zeros someone type zero tab zero tab zero tab zero so now we're making it so that we can go all the way to the edge and this is what they refer to as a bleed in in publishing, so we're taking the color all the way to the edge and then I'll click ok now notice that my cursor is kind of tricky to see the little flashing line is all the way up in the upper left as far as it could possibly be any questions about that? I got a little lost thank you on track for its e didn't catch up, but you caught up um I missed the menu to get rid of the tabs on the the margins of the margins margins we also help if I had glasses, but ok, so the margins button right here and then customer jin's e some of our respects there in the green room next chapter things, then custom margins yeah, thank you. Okay, so the nixon that we're going to do is turn the postcard purple and in order to do that I'm still on the layout tab and over here I have buttons for the page, background and there's a button for color. Now before we click anything here I wantto talk about color in office, they have theme colors and standard colors, so we have these colors up here and then a row of the roy g biv rainbow down at the bottom and this color scheme with the blue, red, green, purple, teal and orange is the default color scheme that comes with micro any document in microsoft office in any of the programs if you color something with anything in those theme colors if you later decide to change the theme the way that we did with the flyer, these colors will change too and it could be something completely different something that you made green could turn orange so if you are defining a color that you absolutely want to be that color no matter what you would use thes standard colors now we want to use that infusion theme that we were working with before so let's go change the theme so on everyone to go back to the home tab and on the far right of the home tap you'll see themes and then I'll scroll down and I'm going to find infusion the same purple color scheme that we used in the first document and I can see at a glance that my heading styles have changed again it's the steams button and then down to infusion and now when I go back again so the layout tab and I look at the colors again, check it out now they're all different shades of purple and green and blue, so when I want to turn my postcard purple, I'm going to use the third column and I'm going to go down to teo background tio later sixty and my page turns purple now one of the things that I see people do it all the time when they want to make a page a certain color instead of doing this they'll make a giant square and fill it with that color and then put it in the background but you don't need to take those steps you can just turn the whole piece of paper a certain color now I don't recommend that necessarily if you're printing at home because you're going to use up your toner really quickly coloring whole pages backgrounds but if you're sending it to king toes or you're having it professionally printed, this is the easiest way to turn a whole piece of paper a color okay, so now that we have our, uh, purple postcard, we're gonna work on putting these squares across it at the top and at the bottom so when I want to insert a shape, I'm gonna go back to the home ribbon and for anybody who's following at home or here and you know, like I said there's some things that you're not going to have time to do in the space of what I'm demonstrating but this is one of those places where you can just pick up where where we left off and joined right back in again so I'm on the home tab and I'm going to come over here into the right to shape and the shapes that rigoni's are rectangles and I'm going to choose the rectangle that has the curved corners so it's the second one so again I'm on the home ribbon the shapes, button rectangles and the second rounded rectangle and I'll click on it and when I bring my cursor back over the document it turns into this thin plus side now I want to show you something about making shapes when I'm making a shape I'll start in the upper left hand corner and click and drag down and to the right and that's going to allow me to make a rectangle in any shape and dimension that I want but I will show you a trick I'm going to undo that and by the way the keyboard command for undoing is command z which I use all the time it's wonderful to get into your muscle memory because I made more mistakes than I do things right so command z toe under them I'm going to draw that shape again again shape rectangle rounded rectangle this time just look what happens if I hold down the shift key on my keyboard so pushed down shift and then do the drag and notice that this time it stays a perfect square that also works with circles if you're trying to draw a perfect circle don't eyeball it hold down the shift key and it will make a perfect circle now I'm going to undo that again and now we're really gonna drop our shape so I'm going to go up to shape and back to rectangles and back to rounded rectangle and this time on a draw it I'm going to aim for you can see how it shows the dimension there I'm going to aim for roughly point eight or maybe one inch in with for my rectangle and then I'll let go everybody get a get a rectangle what's that that's absolutely just find his color is the next thing that we're going to do so let's go ahead and look at the colors so here's something interesting when I'm clicked on a graphic notice that I have a new ribbon that was not there before seeing a purple format I now have a ribbon specifically for formatting this object and if I'm not on the object if I click anywhere else in the document that ribbon disappears so if you're not seeing the ribbon click on the square again and that ribbon will come back and I bet you're going to get people in the chat room asking that question okay so I'm clicked on the rectangle I now have a new formatting ribbon and the first place that I want to look is this shape styles gallery now when I say the word gallery it's referring to a specific area on your screen where microsoft has of different options that are visual so you can see them and when I behold my cursor over that gallery a little triangle appears that wasn't there before and I click on that and now it gives me this whole entire grid full of preset fills colors and outlines and textures and so I could pick any of these styles off of the gallery and it will instantly change to that format. No, I'm actually going to stick with the one that it defaulted to so it's the second the bottom row and the purple and it has that nice texture inside it too but it's nice to see that you have different starting point it's that you can then modify if I did want to change this texture or the color that's inside it, I would go up to fill and there's a little drop down arrow to the right of the button and when I click on that it gives me all of my different colors for my theme and then also fill effects down here in the bottom and I want to show you this window because this is true for almost all the different things that were going to dio all the different colors and appearances that we're going to apply you can go in and further adjust almost anything phil, for example, has solids, ingredients, pictures and textures, which is what we're using now and patterns so you could spend hours and hours and hours trying different textures and trying different patterns and making finding the perfect effect for what you're looking for. In this case, I am just going to stick with the defaults, so I don't want to keep any of these changes that I was just playing with, and I'm going to cancel and stick back with my original purple texture because it's actually perfect for what I'm doing now that I have one of these, I want to make my rule across, so I want to make six of them, so I'm going to start by copying this triangle and this rectangle sorry, and I want to show you several different ways of copying because everybody's different and everybody has a different way of going about things. You could go up to the edit menu and shoes copy, and then I could go up to edit again and paste, and that will make a second one that I can then move over. Another way of copying and pasting is to use the buttons on the ribbon in this one right here, the two pieces of paper is also copy, and then the clipboard, right next to it, is paced so that's a second way of doing the same thing, a third way is to use your keyboard commands cut. Which not just leaves it there but it actually takes it away and then you can move it is command x like scissors comand see for copy and command the for paste now it is x c v on the keys on the keyboard but I always think of paces like put it right here okay so I make that shape put it right here so that's my pace so I can command see to copy and command the for paste the fourth way of copying pasting would be to use that secondary click a right click so I can either to finger click on it or control click and again I have copy right there and to finger click paste so there's four different ways of copying and pasting so now whichever way you liked best go ahead and do it again I'm going to do the command ve and it tastes it gonna stagger mind a little bit okay everybody have here six squares hey the next we want to do is change their colors so I'm going to click on the second one and I'm going to use in the gallery and I'm going to go just right down the line let's use that green color for the second one and I'll click on the third one and shoes the pink and I'll choose the fourth one now I'm going to open up the gallery and choose the hot pink and the fifth one and I'll make that light blue and the sixth one, I will make green, so now I have six different rectangles. The next thing I want to do is make sure that they're all a specific size I want make sure that everything is gonna fit perfectly. So what I want to do here is if I look in the far right of the format ribbon, I concede the width is point eight eight and I'd like to bump that up just a little bit two point nine, but I wanted to apply toe all of my shapes, so I'm going to slept all of them at one time, so I click on one to make sure I have the first one and then hold on the shift key. So I'm doing shift and I'll click on each of the squares, the rectangles, and I can see that they all now have their borders all the way around them. And now when I changed the with, I'm going to come up here to this with square and change that two point nine and then I'm going to hit my tab key to accept that value, or you can click off of it either way works and all of the rectangles all of the same time all became point nine and so that way I can, I don't have to do something six times I can apply it to all of them all at the same time many questions about that sure yeah so what I did I'm going to click off of them to demonstrate it again we're going to click on the first one and then hold on my shift key and shift click on each of the object okay and then I'm going over to where it says with on the size and change that two point nine and then when you click off the law resize themselves so now I want to position all of these rectangles in their proper places on the page and I'm going to show you a couple different ways of doing that first start with the purple rectangle in the upper left hand corner and I'm going to come over to this position button and this allows me to just perfectly align it with either one of the corners of the document or midway up one of the sides and so of course we want this in the upper left hand corner so I'm going toe click on position in top left and it's going to jump itself up a little bit as you know and now them do the same thing with the one on the right I'm going to click on the green one on the far right and go back up to the position button again and click on position and top rate so now it moves those two into place so now one of one of position these in the middle, the last thing you want to do is sit there and drag these around and try and eyeball it. One thing that you can do it with just one demonstrate is that you I generally find it easier to use my arrows up down left right to move things around, and if I hold down the option key while I'm doing it, it allows me to move things and finer increments, and if I go option left right, it also allows me to rotate, which is kind of cool in this case, though I would still kind of be eyeballing it if I dragged it or if I used the arrows, so I want to use the tools, so what I want you to do is again highlight all of the shapes, so shift, click shift, click shift click shift click shift, click until they're all they're all selected and the next button that we're going to use is the align but which is right here and so I'm going to click on a line and I'm going to tell it to align them at the tops notice here that I can align left center and right and those air based on the vertical dots in the corners insides and then top middle and bottom are based on these edges. So I do want to align them on the top and I'll do that and they all automatically perfectly aligned themselves along their top edge so again that's the align button and then align top now I want to spread them out equal space I made it a point a little earlier to place the left one and the right one so you start by it putting the two ends exactly where you want them to go and then when I go back to the align button and down to distribute horizontally right here that will now perfectly spread the mouth so that the space between each one is exactly the same thank you for that thumbs up excellent okay, good all right, so now we have our first bar the next thing that we want to do is replicated on the bottom, but the last thing that we want to do is all that again, so we're going to replicate this so the first thing that I'm going to do is group all of these six rectangles into one object that way instead of having to deal with six things, I'm only going to deal with one so just like before shift click go ahead and shift click on all six rectangles and then go back tio should not go back to we're going to come over to a new button right here now on my screen it's not labeled group but when I hold my cursor over, it says just to the right of reorder, and when I click on it, it has a command for group and I'll click on group and there we go instead of individual boundary boxes on all of them. I now have one object and just like before, I can copy it, so go ahead and dio a copy. I'm going to use command c for mine and then command v for paste, and then I can pick it up and drag it down to the bottom. The next thing I want to do this just to add some dimension to the card is I do want to flip this around in the other direction instead so that the purple is on the far right, and so I'm going to go now, tio this next button in the arrange area that's his rotate or flip the selected object, and I'm going to tell it tio flip horizontal and it's going to reverse it. So now it just did a mirror image of itself and it's exactly where I wanted to be, and I'm going to go back up to the position button right here and I'm going to tell it to position itself in the bottom center that way again, I don't have to guess it's going to go as far down as it can if I want tio, take it any further increments, aiken try I'm not sure if it's going to work, but I'm going to do option down and it did allow me to move it down just a little bit more. So if I just did the down arrow, the jump was too big and you saw it go off the page there, but if I hold on the option, can I do the incremental down? Then it lined it up perfectly, so now I have my bottom borders, this would be a really good time to save our work just in case. So either do a command s for save or go to file and save or go to the little did floppy disk here. Not that any of us have seen a floppy disk in ten years now, but there's a floppy disk and we're going to say that and I'm going to call this postcard and quick, safe, yes, just in case, because now we've made it a group, but I happen to have twelve green little things instead of all different colors. If I wanted to change the color at this point you want to do you have the ungroomed area that's a sad thing, what you do, go back to the group button and then do on group and then change

Never used Word for Graphic Design. Do use Powerpoint for client presentations. Some clients do like their project being editable in word. So for that purpose its a good Office Course
