Workstation Diagram and File Flow

I'm just gonna kind of scan over the way that my system works and I just want you to see this so that you can see all the pieces involved. This is my system when it comes to both in the field and at home or at the studio so you can see that I've got a physical computer sitting on a desk somewhere at the studio and that's computer on lee has software settings and like files of some sort in it no photos are on that computer. All of the photos are inside of either the working raid and then so I work on my desktop most of the time when I'm at the studio and so all of that stuff is in a working raid drive just like the drive that you see here so everything is backed up constantly the photos air always backed up but the catalog itself is here on the computer it's on a different drive it's not on the photo drive it's on a different drive now um come back out here so you can see this drive to see this drive right here that is a solid state drive it's it's this is called the tough tech mini it'...

s a little it's just it's like train iron so it's like indestructible um so this thing houses a solid state drive and this is where all my catalogs are the reason my catalogs are on a separate drive like this is that I travel a lot a lot, and so I need to be able to take my catalog from my computer in the studio to my laptop instantly. Well, if all of my catalogs air on a little drive like this, I can simply reject it and unplug it from my desktop and plug it into my laptop, and I'm back up toe work. I'm working again and then when I'm done, instead of transferring something over synchronizing and catalogue over, simply take this, plug it back into the computer at home and it's back online and I could work on it. Ali, this fits in my pocket so I can take this anywhere have light room at home. I have light room on my laptop. I have light room in my office and so in all three places, I can simply plug this in and I can work on my photos and I don't need the photos present the photos khun still be inside of this hard drive sitting at the computer at the computer at the, uh at the office and it's. Fine. Because all I need in this is I need a catalog, I need the previews. So the one for one previous so I could zoom in and out see him and I need the smart previews and we're gonna talk about the smart previews but that allows me to work on the photos without the photo's being present this is it this is everything I need to go to timbuktu and I can still be working right now so on that drive you don't mean the archived catalogs, right? You mean like the working catalogue? Your portfolio catalog? This has a portfolio catalog has my working catalog and it has my teaching catalog that I'm teaching from right now, but thanks three catalogs that's it and has extra space that I can throw like an entire job on like from an archive. So if I'm like oh, I gotta work on the album for the jones wedding because they just came back to me again simply plug this in and grab on archived file from two thousand fourteen dragging on there and then I can work on that on its own because it's its own file it's got its own catalogue all the photos air with it everything sitting there so I can send enough space in there that I could put little jobs in there so I'll show you if if I go to this is it's called my uh working catalog drive and you can see inside of my working catalog drive, I have um a portfolio catalog I have a working catalogue and then I have this catalog, which is what I'm teaching from and then I have three jobs here that I pulled in that I wanted to work on that don't concern you at all, but I wanted to work on them while I was gone and so I have them in there and I'm playing around with him, right? So I've got all of that stuff in there, including cem traveling iphone imports and stuff so it's just like a little drive that I could take everywhere and doesn't matter if if this died on me I could have creative live give me another computers set it down, make sure light rooms in there and I could plug this in and we're gone we're good we're good to go yeah one more question okay, so are you sinking that with your main working catalogue so let's see your gone to barcelona for two weeks and then you come home and you wantto integrate what's on that we're thinking it's running from here no, I know I have to do is plug it in is that the only working catalog data have that's a thank you but remember everything's backed up right? Am I a nazi about backing things up? I am I always wanted back things up like I totally want to back things up and so every time I quit light room a little message pops up this is do you want to back up this catalogue and what's my answer to that question yes always back it up in fact inside of the preferences of any catalogue so if I go to a catalog and I go up to the light room catalog settings inside the catalogue it will ask you when do you want to back up the catalog and it should say ever the time light room exits so when light room exits is going to ask you where you want to back it up where do you want to back it up? Do you want to back it up on this drive? No, I back it up on my dropbox so I have a drop box has a terabyte of space so I just send the backdrop so if if you go to my well you shouldn't go to my trump box but I will s o I go to my dropbox and there's a little thing here called light room backups right there and there's the catalog backups and you can see and after a while you can delete the old ones but you can see these are the most recent backups so if something were to occur where I lost these dry lost this driver got stolen or whatever it's okay backups whatever the last time I quit the light room. I backed it up. So I have all the information and the files aren't on here. They're back at home here, and they're replicated to a third copy that's inside of a pelican case in my house. So pretty safe. Yes. All right. How are you getting them from that drive on to the second and third drive? Is that a removable drive you can put in the tough tech? Not really evil, but I just plugging this end, remember, this is the catalog, right? I'm working on it here. Just that this court has plugged into this land top. When I get home, I take this, set it next to my computer home and plug it in and open this catalogue and work on it. I don't have to do any synchronization. No, nothing, it's just it is there, right? The photos? They're always sitting here. I guess I'm not understanding how you're connecting these and those drives so that your when I, when I'm on my computer at home, are at the studio. When this is plugged into mike computer at the studio and these air plugged in to the computer of the studio, it sees them when I'm on the road. And it's not plugged into this then there's a question mark and it says I don't know where those photos are but I have the smart previous I have the previews I can work on him I just can't do some things to them I can still export of five by seven by the way from the smart previews and it looked fine I just can't print, you know it's seventeen inch print or whatever from them all right, cool clear on that all right, so back to our little schematic here then you see that the home computer or the studio computer is connected to the actual fought photos that are on the working raid. The laptop is connected via cloud to the computer at home or at the studio, so the cloud services allow me to have the same software because I'm on the creative cloud so all the same software's on both computers and if you're on the creative cloud when you change the settings in photo shop they change on your laptop so you can like sink those back and forth so all of my software is connected by the cloud my settings are also connected by the cloud and by the way will show you how to actually connect the preset area light rooms and light rooms presets will constantly adjust if you change them here they will change over here so they were always be exact really the same, so everything sink through the cloud once that's done, you're working on doesn't matter what computer working on you're still in the same environment. The only thing that changes is whether you have access to files. Now. The files at home are on the raid, one working system and you on ly have access to the smart previews in the previews and stuff like that, because you're travelling around this and you're not carrying this thing around with you on planes, okay, got it. But if I am going somewhere to shoot something, I am going to take my traveling raid with me, which is my little tough tech duo that tough tech do is going to be the temporary spot for all photos that I shoot on the road it's going to be backed up just the same way the raid at home is backed up by swapping out that third drive. The drives get separated before I travel, so if I shoot in london a shoot in london, and then I separate out that third copy and it either goes with an assistant or it goes in a fedex envelope, it goes somewhere outside of my control, so once I've done that, then I go home, and when I get home, I simply take the job that I've created, and I transfer it over to the working system inside of the studio so that it is now part of the studio's working system. It gets put on this drive, it's already on this drive because remember, I I'm working on this catalogue and fromthe road I can import any photos into this catalog it's going to just see that it has access to the ones that I'm currently around. It just doesn't have access to these once I transfer the file over to the to this system, all have to do is tell my catalogue, where did those photos go? They went over here and everything's connected, and we're going to show you how to do that, how to re associate files, moving around, re associate him if they move, we could just change that, all right? So that, in a nutshell, is what we're going to talk about today, tomorrow and the next day, all right, we're going to go through the process of calibrating cameras. We're gonna talk about making presets. We're going to talk about making albums and books were talking about making slide shows. We're gonna talk about making blogger posted you know that you can literally make a blogger post from light room and never open your blog's system, I will show you how I can make a blogger post from light room and never leave absolutely I won't I can't even I can't even launch it without going and telling it to launch from light room I could tell it to lunch oblong post or aiken time it I can say I want this block post to launch in twenty minutes or whatever so everything can be done from light room pretty much and whatever can't be done from light room I have found the best systems um on the planet to do those things and so we're going to connect them all together and show you how that all works a lot of things that there's probably a lot of people out there who have watched my original class which was called the ultimate light room workflow and that was back when light room three was around and so we're going to follow the same workflow but we're going to show you how it all connects with all sorts of new stuff so all sorts of amazing products that are available all sorts of things they're available light room is completely different than it was as the light room three there's so many more tools so we're gonna go through all those tools but all of that around this workflow concept so everybody comfortable with where we want to go yeah good any questions? Any questions out there cloud services who do use for that okay uh cloud services I have to I have dropbox and drop boxes great causes a terabyte so for nine something among nine bucks a month you have terabyte of cloud storage and they increase your cloud storage based on how many of your clients use the cloud storage and so you end up getting more and more and more and more and more and I just have too much I don't I don't even know what to do with it because I deliver big stuff to clients through cloud service through dropbox on dh that's what it was like, uh, all of my, uh, commercial client I deliver through drop box, so I'll take an entire set of files, you know, tiffs or whatever, you know, big stuff, and I just deliver it to him and that'll drop down to them and then I can remove it from my system and they'll have access to it on their drop box, so I use dropbox for that kind of stuff and for storing all of the software that is not in a cloud, so I try whenever I'm gonna buy a piece of software, I first try to go on the app store, that apple app store that's where I first try and buy it because if I buy it there, it's easy for me to install it and download it anywhere from any mac. Secondly, if I can't find it there, then I will look for a download of it and I will put that download inside my dropbox so all my software that doesn't exist in the cloud is going to be in my dropbox whether it's a plug in or whether it's a you know a standalone program doesn't matter what it is going to be in the drop box and inside the folder with that so let's say I have a folder of a screen sharing programs capture screen capture program I will take that screen capture program it will be enough in a folder with the name of the screen capture program and then I make a folder right below it and I changed the name of the folder to the serial number of the software that way I can double click that folder install the software and right below it there's a folder with the name that has the serial number on it copy that pasted in and I'm going to go okay so it's a really easy way to have all of your software in one place I used to have a disc that I traveled around with that had all my software on a same system but just with a disc but now because I have terabytes of storage on a cloud now I can get that software anywhere install it use it, uninstall it whatever so drop box the second cloud system is obviously the creative cloud and that's adobe system so that's where all of my adobe products come from all get downloaded from there I'm on the creative cloud that's the full version because I use indesign I use illustrator I use photo shop I use light room and I used some of their other programs as well on occasional basis. So and I love light room mobile. Um, I love all the little apse that they have on the creative cloud. Um, one of my favorites, by the way, is adobes color you guys played with that go to your phone, download adobe color and then you can take a picture of anything and it will show you all the colors in this schemes. And then once you've done that, you can name it say like, this is my hamburger this is the colors in my hamburger or whatever I've done this my kids love to do it we we goto like five guys deep, you know, hamburgers or whatever and they take picture of the hamburger and they get the color scheme and then they name it hamburger, jackson's, ketchup or whatever. So it's like this cool red theme or whatever, but the key is then once you're connected the cloud, those color schemes end up in all of your adobe programs photoshopped has, um uh in design has, um, you know, so then, if you're looking for a color scheme, you walk into a cool room, and you're like this an amazing color scheme. Take a picture of it, and it is now inside of your color applications, inside of photoshopped, instantly it's, just their synchronizes in. So then, when you're like, I want to make a cool senior photo print, you know, five by seven announcement, then that color scheme could be used for all of the wording and stuff, because someone already found a great color scheme. There's, no reason for you to reinvent that wheel, just use it. So, yeah, so there's, a there's, a lot of a lot of great tools on the cloud itself, and so and we'll go through some of those, not all of them, because this is I need to teach a class on the creative cloud and that's. It just created cloud. We need to do that, okay.
